Getting started

What is TradePourtal?

TradePourtal is a simple asset management platform. Brands use it to organize product images, videos, logos, sell sheets, and other materials in one place, then share them with distributors, retailers, and trade partners, with control over who sees what. It started in wine and beverage but works for any brand that shares assets with outside partners.

How do I access my portal?

Your portal lives at yourcompany.tradepourtal.com. A custom domain (for example, assets.yourcompany.com) can be connected on request. Log in with the email and password from your setup.

What file types can I upload?

TradePourtal supports most common file types:

  • Images: JPG, PNG, WebP, SVG, GIF, TIFF
  • Documents: PDF, DOCX, XLSX, PPTX
  • Videos: MP4, MOV, WebM
  • Design files: AI, EPS, PSD
How do I upload assets?

Log in to your portal as an admin or editor. Open a brand, then drag and drop files into the upload area, or click the upload button to browse your computer. You can upload several files at once.

Brands & organization

How do I create a new brand?

Open your portal dashboard and click "Add Brand." Enter the brand name and an optional description, logo, and website. Each brand gets its own section in your portal where you can organize assets by category.

What are categories?

Categories organize assets within each brand. Your portal comes with defaults like Tech Sheets, Bottle Shots, Shelf Talkers, Logos, and Sell Sheets, and admins can add, rename, or reorder categories to fit how your brand works.

Can I control which assets are public vs. trade-only?

Yes. Each asset can be set to public (visible to anyone who visits your portal) or trade (only visible to logged-in trade partners and team members). Share general materials openly while keeping pricing, sales data, and partner-specific content behind a login.

Can I link assets to a specific product?

Yes. Create product pages with the details that matter — SKU, variants, specs, and description — and link assets directly to the product they belong to, so partners find exactly what they need.

Users & access

What user roles are available?

TradePourtal has four roles:

  • Admin: full access. Manages brands, assets, users, categories, and portal settings.
  • Editor: can upload, edit, and delete assets. Cannot manage users or settings.
  • Trade: can view and download trade-level assets. Intended for distributors and trade partners.
  • Viewer: read-only access to public assets.

Which roles are available depends on your plan. Get in touch about access.

How do I invite team members or trade partners?

Admins invite users from the Users section of the portal settings. Enter an email address and select a role; the person receives an invitation link to set a password and access the portal.

Can I deactivate a user without deleting them?

Yes. Admins can toggle a user's active status from the Users page. Deactivated users can't log in, but their account and history are preserved and can be reactivated at any time.

Plans & access

Is TradePourtal available now?

Yes. TradePourtal is live and in early access. I'm bringing on a small group of early users to help shape where it goes. Request beta access to get started.

How much does it cost?

Pricing is being set with the first group of users, with the goal of staying affordable. Request beta access and we'll talk through your workflow and current pricing.

Are there long-term contracts?

No long-term contracts.

Custom domains

How do I set up a custom domain?

Custom domains are available on request. Tell us your desired domain (for example, assets.yourcompany.com) and we'll configure it. You'll add a CNAME record pointing to TradePourtal in your DNS settings; SSL is handled automatically.

Can I use my main domain instead of a subdomain?

We recommend a subdomain (for example, assets.yourcompany.com or trade.yourcompany.com) so your main website isn't affected, but you can use any domain you own.

Security & data

Where is my data stored?

All data is stored on Cloudflare's global infrastructure. Database records live in Cloudflare D1 and files in Cloudflare R2. Both are encrypted at rest and in transit.

How are passwords protected?

Passwords are hashed with PBKDF2 using a unique salt per user. We never store plaintext passwords. Sessions use JWT tokens that expire automatically and can be revoked.

Can I export my data?

Yes. Contact us to request a full export of your assets and a structured export of your brand, category, and asset data.
