Privacy policy

1. Information we collect

When you use TradePourtal, we may collect:

• Account information: name, email address, company name, and password (stored as a salted hash)
• Uploaded content: files, images, videos, and documents you upload to your portal
• Usage data: pages visited, features used, and activity timestamps
• Contact form submissions: name, email, company, and message content

2. How we use your information

• To provide and maintain the TradePourtal service
• To manage your account and portal
• To respond to your inquiries and support requests
• To send service-related communications (for example, security alerts and updates)
• To improve the platform and develop new features

3. Data storage & security

Your data is stored on Cloudflare's global infrastructure using D1 (database) and R2 (file storage). All data is encrypted in transit via TLS. Passwords are hashed using PBKDF2 with per-user salts. We do not sell, rent, or share your personal information with third parties for marketing purposes.

4. Data retention

We retain your data for as long as your account is active. If your account is deactivated, data is preserved but inaccessible. You may request deletion of your data at any time by contacting us.

5. Your rights

You have the right to access, correct, export, or delete your personal data. To exercise these rights, contact us at robbie@tradepourtal.com.

6. Third-party services

We use the following third-party services:

• Cloudflare: hosting, CDN, DNS, bot protection (Turnstile), database, and file storage
• Google Fonts: web font delivery

7. Changes to this policy

We may update this policy from time to time. Significant changes will be communicated via email or an in-app notice.

Terms of service

1. Acceptance of terms

By accessing or using TradePourtal, you agree to these Terms of Service. If you do not agree, do not use the service.

2. Service description

TradePourtal is a multi-tenant asset management platform for brands and the distributors, retailers, and trade partners they share assets with. Each account receives a branded portal for organizing and sharing assets, with control over who can see what.

3. Accounts & responsibilities

• You are responsible for maintaining the security of your account credentials
• You are responsible for all activity that occurs under your account
• You must provide accurate and complete information when creating an account
• Admin users are responsible for managing access for their portal's users

4. Acceptable use

You agree not to:

• Upload content that infringes on intellectual property rights
• Use the service for any unlawful purpose
• Attempt to gain unauthorized access to other accounts or systems
• Upload malicious files or code
• Exceed your plan's resource limits through automated means

5. Content ownership

You retain full ownership of all content you upload to TradePourtal. We do not claim any rights to your assets, images, documents, or other materials. By uploading content, you grant us a limited license to store and serve that content as part of the service.

6. Plans & billing

• TradePourtal is in early access; pricing is set with each account and there are no long-term contracts
• Paid plans, where active, are billed monthly
• You may change your plan at any time
• Changing plans does not delete existing data, but may restrict access to certain features
• We will give reasonable notice of any pricing changes

7. Termination

Either party may terminate the service at any time. Upon cancellation, your account will be deactivated. Data is retained for 90 days after deactivation, after which it may be permanently deleted.

8. Limitation of liability

TradePourtal is provided "as is" without warranties of any kind. We are not liable for any indirect, incidental, or consequential damages arising from your use of the service. Our total liability shall not exceed the amount paid by you in the 12 months preceding the claim.

9. Changes to terms

We may update these terms from time to time. Continued use of the service after changes constitutes acceptance of the updated terms.

Cookie policy

1. What are cookies

Cookies are small text files stored on your device when you visit a website. They help provide a better experience by remembering preferences and session state.

2. Cookies we use

• Authentication cookies: JWT session tokens that keep you logged in to your portal. These are essential for the service to function.
• Security tokens: Cloudflare Turnstile tokens used to protect forms from spam and abuse.

3. Cookies we do not use

We do not use advertising cookies, tracking pixels, or third-party analytics cookies. We do not participate in ad networks or cross-site tracking.

4. Managing cookies

You can control cookies through your browser settings. Disabling essential cookies may prevent you from logging in to your portal.
